Emergency management is the development of efficient response procedures for attendees and stakeholders in the case of disturbances, dangers or urgent situations. It involves identifying and notifying the relevant authorities, medical personnel and other emergency responders such as firefighters if there are threats during the event.

Preparedness Assessment

Evaluate potential threats or dangers due to weather conditions, the environment or the geographical location where the event is to be held. Assess any unexpected or intentional threats or physical exposure to an attack or harm. Determine whether you have adequate resources to respond to an emergency during the event. Collaborate with the appropriate authorities for advice on the correct procedures to follow in emergency situations.

Clearly define the official procedure to be followed when an emergency occurs. People need to be urgently removed from any potential threat or dangerous situation. Establish the most effective means of communication and notification to the attendees in such an occurrence.  Identify suitable exit strategies and develop an evacuation plan so everyone in attendance can leave the event swiftly.

Medical Emergencies

Familiarise yourself with emergency medical responses and implement the one most relevant to the event. Be specific on the level of medical services provided at the venue. First aid services is necessary to prevent worse case scenarios such as death. Direct personnel on emergency response protocols, where they will address the situation and ensure easy access to the venue.

Emergency Response

As the events’ organiser, it is your responsibility to identify emergency responders and their departments. Common emergency responders include; police officers, firefighters and paramedics. Specify their roles, responsibilities and their right to make decisions on your behalf in urgent situations. Communicate this clearly to stakeholders and attendees to enhance cooperation in emergency situations.

Emergency Action Plan (EAP)

Develop a well-written emergency action plan which clearly outlines the roles of the emergency responders, when they should take action and how they should do it. The plan needs to match the one provided by the venue owners to ensure both parties cooperate during emergency situations. Update the plan regularly and address the procedures put in place by your organisation.
